Job Description:

Position:       Executive Assistant to Director

Location:      Vile Parle - Mumbai

Experience:   5 - 6 Years

Industries:    Pharma - API

Responsibilities:

  • Strategic Executive Support

  • Act as an extension of the Director’s office to drive execution of strategic initiatives.
  • Manage priorities, commitments, and leadership schedules aligned with business goals.
  • Anticipate business needs and proactively prepare relevant insights and materials.
  • Support high-level decision-making by organizing structured information and analysis.
  • Cross-Functional Leadership Coordination
  • Ensure strong follow-up with Plant teams, Marketing teams, vendors, and cross-functional stakeholders.
  • Monitor action items from leadership meetings and ensure timely closure.
  • Coordinate execution of critical projects across departments.
  • Act as a bridge between management and operational teams to ensure alignment.
  • Data Validation & Decision Support
  • Collect, validate, and analyse business data received from marketing, operations, and other functions.
  • Provide analytical summaries and insights to support strategic decisions.
  • Identify gaps, risks, or inconsistencies in information before presenting to Director.
  • Assist in preparing business reviews, dashboards, and performance reports.
  • Market Research & Industry Intelligence
  • Conduct market research related to API industries.
  • Monitor competitor activities, sourcing trends, and market developments.
  • Provide strategic inputs based on industry trends and market analysis.
  • Support leadership in evaluating new business opportunities.
  • Communication & Stakeholder Management
  • Represent the Director’s office in communications with internal and external stakeholders.
  • Draft executive-level emails, presentations, and business documents.
  • Maintain professional relationships with vendors and leadership teams.
  • Ensure clear communication flow between Director and teams.
  • Confidential Documentation & Governance
  • Handle sensitive business information with strict confidentiality.
  • Maintain structured records, presentations, and executive documentation.
  • Prepare Minutes of Meetings (MOM) and track action execution.
  • Executive Operations & Logistics
  • Manage calendar, travel planning, and leadership engagements.
  • Support coordination of management meetings, strategic reviews, and corporate events.
