Job Description:

Position:      Asst. Manager - Accounts & Finance

Location:       Gandhinagar

Experience:    6 - 8 Years

Industries:     Chemical

Responsibilities:        

  • Accounting & Books of Accounts
  • Ensure proper and timely recording of all financial transactions of the Gujarat unit.
  • Maintain accurate books of accounts in accordance with company policies and applicable accounting standards.
  • Review purchase entries, sales entries, expenses, journal vouchers, debit/credit notes, and other accounting transactions.
  • Ensure timely ledger scrutiny and reconciliation.
  • Monitor month-end and year-end closing activities.
  • Ensure expenses are properly classified and supported by appropriate documentation.
  • Plant Accounting & Cost Control
  • Monitor manufacturing costs including raw materials, utilities, manpower, maintenance, freight, packing, and other operating expenses.
  • Prepare product-wise and plant-wise cost information wherever required.
  • Analyse actual manufacturing costs against budgets and standards.
  • Identify major cost variances and bring them to management’s attention.
  • Work closely with Production, Purchase, Stores, and Commercial teams to improve cost control.
  • Support management in identifying opportunities for reduction in operating costs and improvement in profitability.
  • MIS & Management Reporting
  • Prepare timely daily, weekly, and monthly MIS reports for management.
  • Provide clear visibility on sales, expenses, receivables, payables, inventory, cash flow, manufacturing costs, and profitability.
  • Analyse financial data and highlight unusual trends, deviations, and areas requiring management attention.
  • Ensure that financial information provided to management is accurate and available within agreed timelines.
  • Support Finance Head and management in data-driven decision-making.
  • Budgeting & Variance Analysis
  • Assist in preparation of annual budgets and financial plans for the Gujarat unit.
  • Monitor actual performance against approved budgets.
  • Prepare monthly variance analysis with reasons for major deviations.
  • Coordinate with department heads for cost budgets and expense control.
  • Track corrective actions against significant budget variances.
  • Receivables & Collections
  • Monitor customer outstanding and ageing on a regular basis.
  • Coordinate with Sales and Commercial teams for timely collection of receivables.
  • Highlight overdue accounts and credit risks to management.
  • Ensure proper accounting of customer receipts, deductions, credit notes, and adjustments.
  • Carry out regular customer ledger reconciliation.
  • Payables & Vendor Accounting
  • Verify vendor invoices against purchase orders, GRNs, approvals, and supporting documents.
  • Ensure timely and accurate accounting of vendor liabilities.
  • Prepare vendor payment schedules in line with agreed credit terms.
  • Carry out regular vendor reconciliation.
  • Ensure duplicate or incorrect payments are prevented through proper controls.
  • Inventory & Stores Accounting
  • Ensure proper accounting and reconciliation of raw materials, packing materials, finished goods, stores, spares, and other inventory.
  • Coordinate with Stores and Production teams for periodic physical verification of inventory.
  • Investigate inventory differences and ensure timely reconciliation.
  • Monitor slow-moving, non-moving, and obsolete inventory.
  • Support implementation of proper inventory controls at the plant.
  • GST, TDS & Statutory Compliance
  • Ensure timely and accurate compliance with GST, TDS, and other applicable statutory requirements.
  • Reconcile GST input credits with accounting records and statutory portals.
  • Ensure proper TDS deduction, deposit, and related documentation.
  • Coordinate with Corporate Finance, consultants, and auditors for statutory filings and assessments.
  • Maintain proper records and supporting documentation for all statutory compliances.
  • Banking & Cash Flow
  • Monitor bank transactions and carry out regular bank reconciliation.
  • Support preparation of cash flow requirements for the Gujarat unit.
  • Monitor planned payments, collections, and working capital requirements.
  • Ensure proper authorization and documentation for all payments.
  • Maintain appropriate controls over petty cash and other plant-level payments.
  • Fixed Assets & Capital Expenditure
  • Maintain proper records of plant and machinery, buildings, equipment, furniture, and other fixed assets.
  • Ensure capitalization of new assets is done correctly and on time.
  • Maintain fixed asset registers and support periodic physical verification.
  • Track capital expenditure against approved budgets.
  • Coordinate with Projects and Purchase teams for proper accounting of project- related expenditure.
  • Audit & Internal Controls
  • Coordinate with internal auditors, statutory auditors, and other auditors as required.
  • Ensure timely availability of schedules, supporting documents, and reconciliations. · Close audit observations within agreed timelines.
  • Strengthen accounting controls and ensure adherence to company policies. 
  • Identify weaknesses in financial processes and recommend corrective action.
  • System & Process Discipline
  • Ensure that accounting activities are carried out through approved ERP/accounting systems.
  • Improve accuracy and discipline in financial data entry and reporting.
  • Reduce dependency on manual records and spreadsheets wherever appropriate.
  • Work towards digitization of accounts and finance documentation.
  • Ensure proper maker-checker and authorization controls are followed.
  • Coordination with Corporate Office
  • Coordinate regularly with Corporate Accounts & Finance at Kolkata.
  • Ensure timely submission of plant financial data, reconciliations, schedules, and reports.
  • Follow common accounting policies and reporting formats across the organization.
  • Provide information required by management, auditors, banks, and statutory authorities within agreed timelines..
